One order, several parcels: matching invoices for Israel imports

Connect each dispatched item to its order, invoice and tracking reference before asking the clearance provider to review a mismatch.

Keep the original purchase record and build a line-by-line link to the contents of each shipment. Ask the seller and clearance provider to resolve inconsistencies before submitting corrected documents. A split delivery is an operational arrangement, not confirmation of any tax outcome.

Separate the purchase from the physical shipments

Start with the full order confirmation, payment record and seller-issued invoice. Then list every shipment reference and its current status. One order may contain goods that are ready, still in production, cancelled or already refunded; those states should not disappear when the seller creates a second parcel. Ask the seller for the actual contents of each dispatched batch. Keep the original commercial records intact so the reviewer can understand the entire transaction as well as the goods in the shipment being examined.

Build an item-to-parcel map

Use one row per order line within a shipment. Record the order and invoice references, SKU or clear description, quantity, currency, unit price, package mark and tracking reference. If one SKU travels in two batches, use two rows and check that their quantities reconcile with the order. DHL’s invoice guidance calls for accurate item descriptions, quantities and values matching the shipment and air waybill. The downloadable worksheet helps organize that reconciliation; it does not replace an invoice or customs declaration.

Explain differences instead of guessing a new value

If the purchase record covers more goods than the current parcel, send the complete record together with the shipment map and the seller’s explanation. Identify discounts, shipping charges, refunds and outstanding goods explicitly. Ask the responsible clearance professional which supporting document or issuer correction is needed, including how charges should be presented for this transaction. Do not silently edit the original receipt or assign an arbitrary lower value. Save the response with the document version that was actually submitted.

Reconcile warehouse changes before departure

For China–Israel consolidation, supplier cartons may be grouped or repacked after receiving. Preserve the link from the original receiving reference to the final package mark and outbound shipment. Confirm which quantities remain in storage and which have been released, and record who approved the split. If packing changes, update the final package count, dimensions and gross weight used for the transport enquiry. This gives the warehouse, seller and clearance provider the same version of the shipment rather than three different lists.

Send a focused document enquiry

A useful enquiry identifies the shipment under review, the exact mismatch and the attached evidence. For example: the seller invoice covers four order lines, while this parcel contains two; the other lines remain unshipped according to the seller. Ask which additional document is needed and who should issue it. Do not present the worksheet as approval of a declared value or tax treatment.
