Importing machinery from China to Israel: pre-shipment checklist

Prepare the machine model, intended use, technical file and packed measurements before requesting import review and a transport quotation for Israel.

Before approving dispatch, collect the exact model and use, technical documents, final packing data and delivery conditions. Send the same file to the responsible import reviewer and logistics provider, and resolve their open questions in writing.

Identify the exact machine and the job it will do

Record the manufacturer, model, model variant, quantity and whether the equipment is new or used. Add the product link and photographs of the actual machine and identification plate, if available. Describe the operation in plain language: what material enters, what process takes place and what comes out. For food-production equipment, describe the product and any parts intended to contact it; pass that information to the reviewer instead of assuming that every food machine has the same requirements. Keep accessories, spare parts and separate modules on their own lines. A catalogue heading such as packing machine is usually too broad for a useful review.

Request a technical file tied to that model

Ask the manufacturer for the specification sheet, operating manual, available drawings, electrical supply details and a list of included components. Collect any test reports, declarations or certificates the manufacturer already has, with their model references and dates visible. These are documents for assessment, not a universal list of mandatory certificates. Ask the responsible reviewer whether a document covers the actual configuration being purchased and whether anything else needs to be obtained. Keep the file version and supplier contact with each item. If the supplier changes a motor, control unit, material or model after the review, flag the change before relying on the earlier response.

Turn import questions into a written review list

Send the technical file, intended use, purchase details and importer information to the customs professional responsible for the shipment. Ask which classification and product-specific questions remain open, whether a competent authority or specialist needs to review the equipment, and what must be confirmed before dispatch. If the supplier suggests an HS code, label it as a supplier suggestion for review. Ask the reviewer to name the document, responsible party and next action for each unresolved item. Record the date and the exact model covered by the reply. A freight quotation, a supplier assurance or a community recommendation does not answer these questions by itself.

Measure the packed cargo and plan both ends of handling

Request the final number of crates or packages, external length, width and height, and gross weight for each piece. Distinguish these from the machine’s uncrated dimensions and net weight. Ask how the equipment will be secured and whether it can be stacked, tilted or lifted with a forklift; obtain the manufacturer’s handling instructions where available. Describe access at the Chinese pickup site and Israeli delivery site, including unloading space, doorway limits and the equipment available. If dimensions or handling are unusual, use the project-cargo enquiry to assess the requirement before selecting a standard container or delivery service. Mark any unmeasured data as provisional.

Make the commercial and shipping records agree

Check that the quotation or order confirmation, invoice draft and packing information describe the same models, quantities and included accessories. Record currency, goods value, supplier location, expected readiness and the named delivery place. Keep the buyer, importer and consignee roles clear rather than assuming they are always the same entity. Link each crate number to its contents so a missing module can be identified without guessing. Use the documents guide to organize the file, and ask the responsible parties to confirm the documents actually needed for this transaction. If an invoice or packing list is still a draft, show its status and who will issue the final version.

Compare the quotation through the final unloading point

Ask for separate lines covering supplier pickup, packing if requested, origin handling, international carriage, destination operations, customs services and final delivery. Keep assessed import charges separate from the provider’s service fees, and leave unknown figures unconfirmed. State whether unloading, a crane, site access work, installation, commissioning or training is requested; do not assume any of these is included in door delivery. Record currency, payer, quote validity and exclusions. Close the open items before approving dispatch

Create a short readiness record with four states: supplier confirmed, professional review pending, logistics confirmed and action still required. Assign an owner and target date to each open item. If the technical file or final packing is incomplete, ask what can be assessed provisionally and what must wait; an estimated transport plan should remain labelled as such. Before approving collection, compare the latest machine configuration, packing data, review response and accepted quote. Send changes back to the relevant party.
