Damaged or missing items in a parcel: prepare the evidence

Record the parcel’s condition, reconcile quantities and prepare a clear incident file for the seller or responsible carrier.

Write down observations while they are fresh

Record when and where the parcel was received, who accepted it and the shipment reference shown on the label. Describe the condition in concrete terms: a wet corner, an open seam, a dented carton or a missing item. Separate those observations from assumptions about how the incident happened. If there is a delivery record, retain a copy and ask how an observed exception can be recorded. A signature, a photograph or a community story alone does not settle who caused the loss.

Keep a clear photographic record

Take an overall view that identifies the parcel, then closer views of the label, exterior damage, internal packing and affected item. Preserve the original files and connect their filenames to the package identifier in your incident record. UPS’s US claims guidance illustrates this evidence pattern and also asks for package dimensions; the operator handling your shipment may request different material. Share unredacted shipment labels only through the agreed private support channel, and conceal addresses and contact details in any public version.

Check shortages against the shipment that actually arrived

Compare the purchase order, seller packing list and received contents by SKU or model and quantity. For a split order, first establish which items were assigned to this parcel and which are coming separately. Record both the expected and received quantity instead of saying only that items are missing. For commercial cargo, use package marks to distinguish a missing carton from a missing unit inside a carton. Keep the invoice and relevant payment evidence together; the reviewer may need them to assess the goods and reported loss.

Preserve the items and ask for the correct process

Keep the contents and original packaging available while you ask the responsible seller, carrier or insurer for instructions. UPS advises retaining damaged contents and packaging, and notes that an inspection may be needed. Confirm the process that applies to your booked service: who may submit, where to report, the applicable deadline and what to preserve. Before repair, return, disposal or repacking, ask whether it would affect the requested inspection. Do not infer a universal reporting period or automatic refund from another person’s experience.

Send one organized incident file

Use the delivery incident worksheet below to record references, quantities, observations and evidence filenames. Add a short timeline and the specific next step requested, such as confirmation of missing contents or inspection instructions. Keep the case number, date of notification and next follow-up date with the file.
