Do not use refusal or non-payment as a substitute for return instructions. Confirm who holds the parcel, whether a return is still available, who can authorize it, the destination and costs, and how the return will be tracked. Seller receipt and any refund decision are later, separate steps.

Save the exact event wording, timestamp, tracking number, carrier name and any local reference. A label such as unclaimed, held or return requested does not tell you that a return journey has started. Open the identified operator’s official tracking or support channel and ask who currently holds the parcel, the recorded location and what action is available now. Ask for the deadline and the party authorized to give instructions. If the seller’s order page and carrier record differ, include both in the enquiry. Avoid inferring the location from a forum reply or sending another parcel to an address copied from an old label.
Track five different stages of a return
Keep a dated record of the request, the operator’s acceptance of the instruction, confirmed return movement, receipt at the agreed destination and the seller’s refund review. For each stage, note the evidence and who is responsible for the next action. A buyer asking for a return is not the same as the contracted sender approving it. An accepted instruction is not the same as physical dispatch. A return tracking reference is useful only when connected to the correct parcel, and a delivered return does not itself establish that the seller has approved a refund. Ask for the missing transition rather than repeatedly asking only whether the parcel has been returned.
Get instructions from both the seller and the delivery operator
Tell the seller the order reference and reason for the request, then ask whether it authorizes a return and who is permitted to arrange it. Separately ask the operator whether the parcel can still be collected, redirected or returned under that service, and what instruction it needs from the contracting party. Keep the seller’s case number and the carrier’s case number together. If an earlier notice gave a deadline, ask whether it is still current and what happens next under the actual service terms. Do not assume an unanswered message suspends a deadline. Check the current purchase or payment-account support options while the transport enquiry is open.
Refusal or unpaid charges do not provide a return plan
DHL eCommerce’s US help page lists refusal and unpaid duties or taxes among reasons a shipment can become undeliverable. It describes identifying the sender and checking the sender’s return preferences, with possible charges. This is a US DHL eCommerce example, not a general rule for Israel or another carrier. It explains why simply waiting after a refusal is an unreliable way to establish what will happen next. If payment is disputed, ask the issuer for the bill’s basis and ask the operator separately for available handling options. Record the answers without assuming that non-payment creates an automatic return, cancellation or tax refund.
Confirm the return address, authorization and documents
Obtain the complete authorized return address and recipient, plus any return authorization number the seller requires. Check whether the destination is the original sender, a service centre or another approved receiving site. Ask who issues the return label, which tracking reference will apply, what documents must travel with the goods and how the contents should be described. DHL Express’s US returns guidance discusses labels and paperwork in the context of the destination’s requirements; confirm the arrangement for the actual route and service. For equipment, record model and serial references and agreed accessories. Do not assume a Chinese supplier or forwarding warehouse will receive an unannounced return.
Separate return costs from purchase and tax questions
Request a written list of transport, handling, storage or other amounts that may arise from the proposed return, with the payer, currency and any conditions stated. Identify who must approve the work before it starts. Keep those amounts separate from the original sale price, outbound freight and any import payment already made. Ask the seller how receipt will be checked and what information it needs for its refund decision. Direct any tax-payment question to the responsible issuer or authority with the payment evidence. Do not treat a return label, proof of dispatch or seller correspondence as confirmation that all original charges will be reimbursed.
Close the transport record and the purchase case separately
Save proof of return handover, the new tracking events and delivery evidence at the agreed destination. Ask the receiving party to confirm the parcel reference and contents received, then follow up on the seller’s decision using the purchase case number. If the return stalls, enquire about its latest confirmed physical handover instead of restarting with only the original outbound number.
