Send the domestic tracking details and expected contents to the warehouse contact, then reconcile its check-in record. Delivery to a building, inventory registration and release for international transport are separate milestones.

Ask the logistics team to confirm that the proposed goods and delivery are accepted, then obtain the exact warehouse address, receiving contact, contact number, receiving hours and any appointment requirement. Confirm which name and reference must appear on each carton. A company’s office address or an address copied from an old message is not sufficient receiving authorization. Before using an intermediary address, ask the seller whether it accepts that delivery arrangement and what evidence it will provide after dispatch. Keep the confirmed instructions with the purchase order.
Use the assigned identifier consistently
Copy the receiving details exactly as instructed and ask the supplier to show the final label before dispatch. The customer reference, order number and package marks should be legible and consistent with the pre-alert. Shipito’s own address guidance illustrates why a provider-assigned identifier matters: missing its suite number can obstruct account matching. That is an example of one provider’s workflow, not an Israelepost account feature. Do not invent a suite number or assume the customer name alone is enough; use the format confirmed for your Chinese receiving warehouse.
Pre-alert each supplier shipment
Send the supplier name, order reference, domestic carrier, tracking number, expected arrival and carton count through the agreed channel. Add the SKU or a clear description and the quantity expected in each package. Identify partial shipments and goods that remain with the supplier. For several suppliers, give each delivery its own row in the receiving worksheet and retain one reference that links the rows to the intended Israel shipment. Flag batteries, liquids, unusual dimensions or special handling before the delivery is sent so the team can assess acceptance.
Distinguish carrier delivery from warehouse check-in
A domestic carrier’s delivered scan is one piece of handover evidence. Ask the warehouse for its receiving reference, date and recorded package count, then match them to the pre-alert. Shipito’s package FAQ explicitly distinguishes carrier delivery from account check-in; its stated processing window belongs to that provider and is not a universal warehouse promise. For your own shipment, agree when to expect confirmation and when to follow up. If the records do not match, share the tracking number, delivery proof, label image and expected package list without assuming the goods are lost.
Define what receiving and inspection include
Counting cartons, photographing the exterior, counting individual units and checking product quality are different tasks. Ask which checks are included and obtain approval for any extra opening, counting, inspection or repacking. For example, receiving three cartons does not establish that all ordered units are present or that the product works. Record visible exceptions against the affected package mark and state which checks remain undone. If packaging changes, retain the link from the original supplier carton to the final package and update the measured weight and dimensions used for the transport quotation.
Approve the next stage using the reconciled record
Once the received quantities and open issues are clear, decide whether to hold, combine or release the goods. Confirm storage terms, requested work, costs requiring approval, document readiness and the Israeli delivery details before instructing dispatch.
